Download your Gmail data via Google Takeout
5–30 minGo to myaccount.google.com → Data & Privacy → Download your data. Select only "Mail" and choose MBOX format. Large mailboxes can take up to 24 hours — start this step first while you set up ShieldBox.

Create your ShieldBox account
5 minSign up at shieldbox.com.au/signup. Choose your plan, verify your email address, and enable two-factor authentication immediately. This is also when you connect your custom domain if you have one.

Open the ShieldBox Migration Wizard
2 minIn your ShieldBox dashboard, go to Settings → Import & Migration → New Import and select "Import from Gmail". The wizard will guide you through each step.

Upload your MBOX file
10–30 minUpload the MBOX file from your Google Takeout download. ShieldBox will import all emails, preserving folder structure, read/unread status, and attachments. Large imports run in the background — you'll get a notification when complete.

Export and import your contacts
5 minIn Google Contacts (contacts.google.com), click Export → Google CSV. In ShieldBox, go to Contacts → Import → Upload CSV. All contacts with email addresses, phone numbers, and notes will transfer.

Export and import your calendar
5 minIn Google Calendar, click the three dots next to each calendar → Settings → Export. Import the .ics file into ShieldBox Calendar via Calendar → Import. Repeat for each calendar (Personal, Work, etc.).

Set up Gmail forwarding (transition period)
3 minIn Gmail Settings → See all settings → Forwarding and POP/IMAP → Add a forwarding address. Enter your new @shieldbox.com.au address. This ensures no emails are missed while your contacts update their records.

Update your domain MX records
10 minIn your domain registrar's DNS settings, point your MX records to ShieldBox's mail servers (provided in your dashboard). This switches all incoming email to ShieldBox. ShieldBox support can walk you through this step — it's the most important one.

Install ShieldBox apps and sign out of Gmail
5 minDownload the ShieldBox iOS or Android app, or configure any IMAP client (Outlook, Apple Mail) using your ShieldBox credentials. Once happy, revoke Gmail forwarding and sign out of your old account.

Watch out for these
- Google Takeout can take up to 24 hours for large mailboxes. Start this step before anything else.
- Gmail labels become folders in ShieldBox. An email with 3 Gmail labels will appear in 3 ShieldBox folders — this is expected and normal.
- Google Workspace (business Gmail) accounts may require admin approval before data export is allowed.
- If your Gmail address is your primary identity (e.g. john@gmail.com rather than john@yourcompany.com.au), you'll want to set up a custom domain in ShieldBox first.
